Privacy Notice

This notice explains what personal information Relaxed Golf collects, why we use it, and the choices you have. It is written in plain language. If you have questions, you can contact us at the end.

Who is responsible for your information

Relaxed Golf is operated by Philippa Hodgson, trading as Relaxed Golf. Relaxed Golf is a sole trader business, not a separate limited company, partnership or other incorporated entity. Our contact address is Apartment 3, Belvedere Mansions, Lonsdale Road, Scarborough, and our contact email is hello@relaxedgolf.co.uk.

Relaxed Golf does not have a designated Data Protection Officer. For any privacy or data-protection enquiry, please contact us at hello@relaxedgolf.co.uk.

This notice covers the Relaxed Golf community platform only. It does not cover Simply Relaxed Golf CIC or any separate organisation, even if they are linked from Relaxed Golf.

What information we collect and why

Information you give us

  • Account: your email address (used to sign in and to verify your account with a one-time code) and the password you choose. If you sign in with Google, Google shares the information needed to sign you in.
  • Display name: the name other members see, which you can edit.
  • Profile: your profile photo, cover photo, about-you note, town or city, and golf preferences such as experience level, play style, handicap, home and regular courses, availability and what you are looking for from golf.
  • Looking to Play: when and where you'd like a game and any note you add.
  • Marketplace listings: details and photos of items you list, and your chosen location.
  • Business information: if you list a business, the business name, description, contact details, logo and photos, and the names and emails of people you invite to help manage it.

Information created when you use Relaxed Golf

  • Connections and messages: who you connect with and the private messages you send and receive.
  • Posts, comments and reactions: what you post and how you engage with the community.
  • Groups and activities: the groups you join and the activities you take part in.
  • Saved businesses and compare list: the businesses you save or compare.
  • Notifications: activity that lets us tell you about connections, messages, group posts and more.
  • Reports: reports you make about other members or content.

Why we use it

We use this information to run the community you asked for: to set up and verify your account, show your profile to other members, help you find and connect with people, show and remember your posts and activity, list Marketplace items, run business listings, and send you notifications and service messages. We also use it to keep the community safe, prevent spam and abuse, and respond to reports.

Location information

If you add a town or city to your profile, we use it to help other members find people nearby. We derive an approximate location from your town or city for distance and discovery — we do not ask for or store precise GPS coordinates from members. Your approximate coordinates are not shown to other members; only a general distance is shared in discovery.

Some pages show a map of a Golf Place or business. The map is provided by OpenStreetMap. When you view a map, your browser requests map tiles from OpenStreetMap, which means OpenStreetMap receives your IP address and the area of the map being viewed. Relaxed Golf does not send your profile location to OpenStreetMap.

Public, member-only and private information

Public (anyone on the internet can see)

  • Business listings and their public details (name, description, contact details, photos).
  • Golf Places and their public details (name, type, address area, website).
  • Marketplace listings (title, description, photos, price, general location).
  • Published editorial blog articles.

Member-only (other signed-in members can see, according to your settings)

  • Your member profile and golf preferences.
  • Your community posts, comments and activity.
  • Your Looking to Play posts (to the audience you choose).

Private (only you and, where needed, our team)

  • Your email and sign-in details.
  • Your private messages (seen by you and the member you are talking to).
  • Your saved businesses and notification settings.

Connections and messaging

When you connect with a member, both of you can see the connection. Private messages are stored so you and the other member can read your conversation. If you erase your account, your side of a conversation is removed for you, but the other member keeps their copy of the conversation, with your name shown only as a neutral "Member".

Marketplace

When you list an item, your chosen location and the listing details are public. Relaxed Golf does not process payments for Marketplace items, so no payment details are collected by us for Marketplace sales. If a buyer and seller arrange a payment between themselves, that is outside Relaxed Golf and is not covered by this notice.

Business information (separate from member accounts)

A business listing is different from a member account. Business managers can manage their business's public listing and some business-side information. Business subscription and payment details are handled by Stripe (see below); Relaxed Golf stores the subscription status and billing period, not your card details.

Business information is kept while a business is listed and for as long as is needed for billing and record-keeping. Business managers control who can manage their listing; removing a manager does not delete the business.

Notifications

We create notifications to tell you about things that affect you — for example a connection request, a new message, a group post or a response to a report. You can see and manage your notifications in the community. Erasing your account removes your notifications.

Contact form

Our public Contact page lets anyone — including people who are not yet members — send a message to Relaxed Golf. When you use it, we collect your name, email address, the category of your enquiry and your message.

We use this information to read and respond to your enquiry, deal with account, community, business, Marketplace, privacy or data matters, and handle reports where applicable. Your enquiry is kept as a private record that only authorised Relaxed Golf administrators can see, and we try to send a copy to our contact email address so the right person can pick it up. We do not publish enquiries, include them in community feeds or search, or share them with other members or businesses.

The contact form is delivered through our existing email provider and the Relaxed Golf platform; it does not introduce any new third-party service or any new cookies. You don't need to be a member or signed in to use it.

Moderation and reporting

If you report a member or content, we keep the report and any details you give us so we can look into it. We may keep records of moderation actions for the safety and integrity of the community, even after an account is erased, where we have a legitimate reason to do so.

Account security and fraud prevention

We use your account information to keep Relaxed Golf secure — for example to verify your email, prevent spam and fake accounts, and investigate misuse. We may restrict new or flagged accounts to help protect the community.

Business subscription payments (Stripe)

Some businesses choose a paid subscription plan for extra features. Those payments are processed by Stripe. Relaxed Golf receives confirmation of the subscription and its billing period; it does not receive or store your full card details. Stripe handles card information under its own rules. This only applies to business subscriptions — members are never charged for community membership.

Service providers we use

Relaxed Golf is built and hosted on the Base44 platform, which provides the database, authentication, email verification, file storage and the running of the service. We also use:

  • Google — for the optional "Continue with Google" sign-in.
  • Stripe — for business subscription payments.
  • OpenStreetMap — for map tiles on place and business pages.
  • The Base44/Wix media service — to store and deliver images such as profile photos and listing photos.
  • Email — to send verification codes and service notifications.

These providers process information as part of running those features, under their own terms and policies.

Sharing and international transfers

We do not sell your personal information. We share it only as needed to run the service (with the providers above), to keep the community safe, or where we are legally required to.

Some of these providers may process information outside the United Kingdom. We do not transfer your personal information to them beyond what is needed to run the features you use, and we rely on the safeguards these providers apply and their own terms and policies. If you need detail about a specific provider, please contact us.

How long we keep information

We keep your information for as long as is necessary for the purposes described in this notice and to meet any legal, security or record-keeping obligations. When you erase your account, your personal, member-side records are removed or anonymised; some records may be retained where there is a legitimate reason, such as security, moderation or billing. We have not set fixed time limits for every category of information.

We have not set fixed time limits for every category of information. We retain information only for as long as reasonably necessary for the purpose for which it was collected, while taking account of legal, accounting, security, dispute-resolution and enforcement requirements. Contact form enquiries are kept only for as long as reasonably necessary to handle the enquiry and any related follow-up, subject to legal and security requirements. Where we no longer need information and have no legal or security reason to keep it, we will remove it or anonymise it.

Account erasure

You can erase your account from the "Danger zone" in My Account. When you do:

  • Your member profile is anonymised to a hidden "Former member" and removed from discovery and profile views.
  • Your connections, follows, blocks, group memberships, activity participation, Looking to Play posts, saved businesses, notifications and recommendation history are deleted.
  • Your Marketplace listings are withdrawn from sale and your member-organised activities are cancelled (kept for other participants).
  • Your posts and comments are hidden from community feeds, and your messages are retained so the other member's conversation stays intact, with neutral attribution.
  • Records kept for security, moderation, audit and billing may be retained.

Uploaded files (such as photos) are a known limitation of the platform: when we clear the references to a file, the underlying file bytes may not be immediately physically deleted from storage. We clear the links we control, but we cannot guarantee every underlying storage byte is destroyed instantly.

If you are the sole manager of a business, you will need to transfer or remove the listing before erasing your account.

Your rights

Depending on where you live, you may have the right to:

  • see what personal information we hold about you;
  • ask us to correct it if it is wrong;
  • ask us to delete or erase it (you can do this yourself from My Account);
  • object to or restrict certain uses; and
  • withdraw any consent you gave (for example, stop using Google sign-in).

To exercise these rights, contact us at hello@relaxedgolf.co.uk. We may need to confirm your identity before acting. If you have a concern about how we handle your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Children

Relaxed Golf is not intended for children under 18. We do not knowingly collect information from children. If you believe a child has given us their information, please contact us so we can remove it.

Changes to this notice

We may update this Privacy Notice from time to time. We will update the "Last updated" date at the top when we do. Significant changes will be shared with members where appropriate.
